Fundraising Roles & Expectations
Clear responsibilities help your campaign run smoothly and maximize your 40% profit.
Organizer / Committee Responsibilities
- Set up and maintain your online account with accurate contact and shipping details.
- Notify the Community Roots Program Coordinator of any updates to your campaign or contact information.
- Respond to program emails in a timely manner.
- Handle all communication with participants; if you can’t answer a question, contact West Coast Seeds for help.
- Print, sort, and pack individual orders.
- Submit the Payment Request Form within 10 days of your campaign end date.
What West Coast Seeds Provides
- Guidance and support for your campaign needs.
- Timely communication about any program updates during your fundraising period.
- Account setup for approved organizations.
- Accurate, on-time shipping within 15-20 days of your final order submission.
- Providing 40% profit statement and payment 30-45 days after the campaign has ended.
We send all correspondence by email but we may also phone you should we need a more immediate response.
Limit sales to your local area, direct contacts, and families. Please avoid broad online sales, except via your organization’s website or social media page.
Due to high volume, we may not be able to adjust your campaign dates after approval. Please plan carefully before submitting.
Availability & Substitutions
When an item is unavailable, West Coast Seeds may substitute a similar product of equal value.
Eligibility: The Community Roots Fundraising Program is available in Canada only.
Packaging & Delivery
How orders are shipped and what’s expected from the fundraising committee.
What West Coast Seeds Provides
We will package and ship—free of charge—one complete order to the fundraising chairperson, as listed on the fundraising application.
Organizer / Committee Responsibilities
Once received, the fundraising committee is responsible for breaking down the shipment and distributing individual orders to participants.
All orders will be shipped within 15-20 days of the campaign’s end date.
Final Sale & Error Reporting
Please review our policy before placing or distributing orders.
All sales are final. We do not offer exchanges or returns for fundraising program orders.
Any shipping errors must be reported to West Coast Seeds within 7 days of receipt to be eligible for review and resolution.
Profit Statement & Disbursement
How and when fundraising profits are processed.
A profit statement will be provided to the organization after the order has been shipped.
Payments will be made only after we have received your Payment Request Form, which must be submitted within 10 days following the end of the campaign.
All payments will be processed and sent via Electronic Funds Transfer (EFT) or cheque in 30-45 days after the end of the campaign.

Although every precaution has been taken, errors in pricing and/or specifications may occur in printing. While we expect to maintain current Gardening Guide prices for the season, we reserve the right to change prices without notice.
The comments and advice in this brochure and on the fundraising website are not a guarantee of performance of any seeds product. Product representations, including photographs, on West Coast Seeds’ labels, packaging, advertising, and technical publications represent kind only. A variety may differ from the representation in color, shape, and size.
West Coast Seeds shall not be liable for any non-performance, reduced performance, crop damage, costs of growing, third-party loss, consequential loss (including loss of profits), loss of business opportunity, or any incidental or indirect losses arising from the purchase or use of its seeds.
The liability of West Coast Seeds for any loss or damage, including that resulting from mistake or negligence, is limited to replacement of the item or return of the purchase price.
By placing an order, the buyer accepts these terms of sale and agrees they constitute the entire arrangement between buyer and West Coast Seeds.
